ILFL Online Player Registraions

This online system allows club managers to make player registration, transfer and unregister requests. The request may or may not be accepted by the Player Registration secretary depending on the individual circumstances of each player. You will be notified via email if the request is denied for any reason.

Important Notes:

  • Be careful who you register! Remember that you have 30 free registrations and any more after that will incur a cost so do NOT be frivolous. You can register an unlimited number of players but you can only have a maximum of 60 players registered at any one time. Once this limit is reached you will need to unregister players before you can register any more.

  • Check that your request appears on the All Pending & Rejected Requests view to ensure that it has been lodged. All transfer requests will be followed by an email notice to both the current club and the requesting club.

  • It is the manager's responsibility to ensure player photos are kept upto date (e.g. when a player's appearance changes significantly either naturally or by styling etc.) to avoid any potential disputes when ID cards are checked.

  • All requests must be received and if the competition requires it, verified by Friday for the request to be processed and the player eligible to play for the second Sunday following.

  • All pending or incomplete requests will automatically expire after 56 days from the request date.

  • Remember to log out after you are done. For added security close your browser tab/window.

Basic Navigation

When you first login to the player registration system, the default view will display all the registered players for the current season. The three fields on the top will display different results based on what is selected,

  • Season:

    • Current Season - Display players for the current season

    • Other Seasons - Display players for the selected season

  • Show:

    • All Pending & Rejected Requests - Display all new register/unregister/transfer requests that are still pending or rejected during the selected Season

    • All Reg, Unreg & Xfer Requests - Display all requests regardless of the current status, that have been made during the selected Season

    • All Registered Players - Display all the registered players for the selected Season (this will also include players that have transferred from other clubs)

    • All Unregistered Players - Display all the players that have been unregistered during the selected Season (this will also include all the players that have transferred to other clubs)

    • All Transferred Players (In) - Display all the players that have transferred to your club during the selected Season

    • All Transferred Players (Out) - Display all the players that have transferred from your club during the selected Season

    • All Past And Present Players - Display all players that were registered for your club at one time or another before or during the selected Season

  • View:

    • List - Display players in list form

    • Grid - Display players in a grid form with photos

Player Registration Requests

Players can be registered at any time during the season before the cut-off date of 28 February. There are three ways of making player registration requests,

  1. Multiple players from displayed list

    • Display all the Unregistered players from the current season or All the players from past seasons from the Players Summary screen

    • Select the checkboxes for the players you wish to register (click on Select All to select all the players)

    • Click on the Register Selected button

  2. By player ID

    • Click on the Register New button from the Players Summary screen

    • Enter the player ID in the first entry field

    • Click on the Register button to register the player or click on Register Many if you want to register another player after the current one is completed

  3. By adding a new player

    • Click on the Register New button from the Players Summary screen

    • Fill in all the player details. Do not enter anything in the Player ID field as this will take precedence

      NOTE: Enter the player details fully and accurately in the CORRECT fields

    • Select the ethnic origin for the player from the list. If it is not listed, enter it in the box next to the list. Note that the ethnic origin is NOT the player's nationality

    • Click on Browse... and select the player's photo. Ensure that the photo meets the following requirements (think of Passport quality photo) or the request will be rejected,

      • File type must be JPEG

      • File size must be 5MB or less

      • Players must NOT be wearing any hats, sunglasses or other head coverings

      • The photo dimensions must be at least 1024x768 pixels (or 768x1024 pixels if in portrait)

      • Photo must be in colour and digital original, NOT a cut out or scan from a family or squad photo

      • Phot must NOT be cropped/trimmed, skewed/stretched or edited in any way

      • Photo must be in good focus and not burnt by bright background lighting

      • Photo must NOT be zoomed in on the face but include the body down to the waist and a at least a foot to the side of the shoulders such that it can be cropped to the correct size

      Set your digital camera settings to at least 5 mega pixels to be sure that that it will take the perfect picture meeting all the requirements. In most cases a setting of more than 5 mega pixels will also be fine but sometimes the file size may exceed the limit slightly.

      NOTE: There is no need to rename the photo in any special manner if the above requirements are met and you are adding it via the web site

    • However, if the photo is too large to be attached here, select the checkbox below the file field and email the photo separately ensuring that you rename it first using the following convention,

      • Player ID - Full Player Name - DOB.jpg   or   Club Name - Full Player Name - DOB.jpg

        e.g. 1079 - John Smith - 01-01-1980.jpg

      Do NOT select the checkbox if you are attaching a photo as it will not be delivered. If however, you are sure that the player was already registered before and you do not have a photo, you can select this to continue with the registration without a photo.

      NOTE: The ability to email photos separately is ONLY provided for the rare instance when the photo is too large to attach online. This will never be the case if pictures are taken with a 3 or 4 mega pixel camera. Repeatedly sending photos by email will constitute abuse of the system and this functionality will be automatically withdrawn.

    • Click on the Register button to register the player or click on Register Many if you want to register another player after the current one is added

      NOTE: The system will attempt to detect duplicate players for cases where you try to unknowingly register a player that already exists in the database. If the player you are adding is deemed to already exist, you will be shown the potential matches.

      It is imperative that you examine all the matches and do as you are instructed on the screen. You will receive a stern reprimand for failure to identify a duplicate player when one is shown.

      If the player you are adding does indeed exist and you select the existing player as the on screen instruction says, you will be asked whether you wish to keep the existing details or replace them with those you have just entered.

Things to note when registering players,

  • Before making a registration request, ensure that you have explained the league rules to the player concerned and that you receive their consent to register for your club only.

  • You will not be allowed to make registration requests if you already have 60 players registered. Once this limit is reached you will need to unregister players before you can register any more.

  • If a player is already registered for another club, you will be asked if you wish to make a transfer request instead. If you do decide to request a transfer, you will need to collect the old ID card from the current club and return it to the Player Registration Secretary. Otherwise the request will not be actioned and the new card will not be issued.

  • Registration requests will NOT be accepted if a photo is not supplied or it is not of an acceptable quality as detailed above.

  • Registration requests may be rejected if the player is

    • currently expelled or due to be expelled shortly

    • serving a lengthy suspension or is due to begin a lengthy suspension shortly

  • NOTE: The new request(s) will not appear on the All Registered Players view until they have been verified, if the competition requires it (see details below) by the player and then processed & approved by the player registration secretary. However, you must check that they appear under the All Pending & Rejected Requests view to ensure they have been lodged.

Player Transfer Requests

Players can be transferred at any time during the season before the cut-off date of 28 February. There are two ways of making player transfer requests,

  1. Direct transfer request

    • For this method, you must know which team the player is currently registered with

    • Click on the Request Player Transfer button  from the Players Summary screen

    • Select the club which the player is currently registered with

    • Select the player you wish to transfer from the list

      • If the player is not listed, check that you have selected the correct club

    • Click on the Send Request button to complete the request

  2. By player ID or other details

    • This method assumes that you do not know which club the player is currently registered for. If this is the case then you should not proceed any further until you have determined this and liaised with the club's manager to get his approval and the player's old ID card.

    • Once you have determined the correct club and received the approval from the other manager to approach the player Click on the Register New button from the Players Summary screen

    • Enter the player ID (found on the ID card) in the first entry field OR enter the player's details in the other fields (there is no need to provide a photo)

      NOTE: Enter the player details fully and accurately in the CORRECT fields

    • Click on the Register button

    • If you entered the Player ID, the player details will be displayed and you will be given the option of making a transfer request for the player

    • If you entered the players details, a list of all the matching players will be displayed

      • In this case, click on the photo of the matching player and you will be given the option of making a transfer request for the player

      • If the player is not displayed, the details you have entered do not match the details on file. You should retrieve the player's ID card from the current club and use the alternative method

    • Once the request is lodged you will need to retrieve the old ID card from the current club manager and return it to the Player Registration Secretary

Things to note when transferring players,

  •  Before making a transfer request ensure that that the player has agreed to the transfer

  • You will not be allowed to make transfer requests if you already have 60 players registered. Once this limit is reached you will need to unregister players before you can register/transfer any more.

  • All transfer requests will be followed by an email notice to you and the current club. If you do not receive such an email, contact the Player Registration Secretary to ensure that it has been lodged correctly.

  • The transfer request will not be accepted until the player registration secretary has received the player's old ID card from you, the requesting manager

  • There is a fee chargeable for all transfers. You will be informed of the exact amount during the online transfer process

  • Transfer requests may be rejected if the player is

    • currently expelled or due to be expelled shortly

    • serving a lengthy suspension or is due to begin a lengthy suspension shortly

  • NOTE: The new requests will not appear on the All Transferred Players (In) or All Registered Players views until they have been verified, if the competition requires it (see details below) by the player and then processed & approved by the player registration secretary. However, you must check that they appear under the All Pending & Rejected Requests view to ensure they have been lodged.

Player Unregister Requests

Players can be unregistered at any time during the season before the cut-off date of 28 February. Once a player is unregistered they are free to register for any club again (including yours).

  1. Display all the Registered players from the current season from the Players Summary screen

    • Select the checkboxes for the players you wish to unregister

    • Click on the Unregister Selected button to complete the request

Things to note when unregistering players,

  •  Any one player is allowed three registrations (2 transfers) in any one season

  • The unregister request will not be accepted until the player registration secretary has received the player's ID card

  • All players are automatically unregistered at the end of the season

  • NOTE: The new requests will not appear on the All Unregistered Players view until they have been approved by the player registration secretary. However, you must check that they appear under the All Pending & Rejected Requests view to ensure they have been lodged.

Player Transfer Requests From Another Club

When one or more transfer requests for any of your players is made by another club, you will receive an email notice. A visual notice will also be displayed on the main screen advising you of outstanding requests. These requests will need your immediate attention and you must either approve the request or reject it providing good reasons within seven days.

  • Click on the View & Manage External Requests button

    • A list of all the outstanding requests will be displayed

  • Click on the Pending link

  • Click on the Approve button if you accept the request OR

  • Click on the Reject button providing good reason for the rejection in the text box

    • The Player Registration Secretary may override any rejection if the reasons provided are not deemed good enough

Once a request has been approved either by yourself or the Player Registration Secretary, you must surrender the ID card to the requesting club manager.

NOTE: Do not release player ID cards to anyone without first receiving a transfer request via the online system.

Registration Request Verification by Players

Once a Registration or Transfer request is submitted the player must verify the request before it will be processed if the competition requires it.

  • If you provided an email address for the player, they will receive an email giving details of how to either verify the request or reject it. You will also receive a confirmation email advising that the player has been emailed.

  • NOTE: You are advised to keep on top of the verification and remind players to complete the process as soon as possible. If a player claims to have not received the verification email, review the following steps in order,

    • Check that the online system has the correct email address. If not, submitt an update request with the correct email address (spelling, hyphenation etc). Once the email has been reviewed and applied, a new verification email will be sent to the new email address automatically.

    • If the email address is correct, you can submit another email by clicking on the Email Req link in the Verify Method column.

    • If they still claim not to have recieved it, ask them to check their Spam and Junk folders. Some mail filters can treat emails from unknown sources incorrectly. If using any of the free email services such as hotmail or yahoo be sure to login from a web browser as these folders may not always appear if reading from a mobile device.

    • If after the above steps your player still does not recieve the email it is possible the email is being blocked by an organisations mail filters if it is a work email. In this case you should use one of the other methods of verification such as paper verification, if available, or contact the Player Registration Secretary for alternative methods.

      WARNING: Do NOT enter bogus email addresses such as your manager's, other player's or email addresses in your club domain as they will be treated as an attempt to falsify the player declaration

  • If a player's email address was not provided, you will be emailed a form which you must print, get the player to fill out and then return to the Player Registration Secretary to complete the same verification process. Since this is a longer and more involved process it will slow down the completion of the request.

    NOTE: You can provide a new email address or correction for any player by submitting a Player Update notice at any time, and if there is any pending requests for the player, they will receive the verification email automatically.

Submitting Changes to Player Details and Replacement Photos

If any details for any players have changed such as their address or the registration secretary has requested a replacement photo, do NOT under any circumstances add a new player. The correct way to update player details or submit new photos is via the following method,

  • If the display mode is List view, click on the players name or if the display mode is Grid view, click on the player's photo

  • You will be provided with a form showing the players current details and fields to enter the new details

  • Make sure that you ONLY enter the details that have changed

    NOTE: There is no need to rename the photo in any special manner if the requirements for the photo are met and you are submitting a replacement via the form

  • Click on the Send Changes button

  • Once submitted successfully, it will be indicated by (*) being appended to the end of the player name

Note that the details you submitted will not be applied immediately. The details will first be double-checked by the player registration secretary who will apply them if they are deemed acceptable.
